Checking who you are and where you live

Before we release equipment to a new hirer we need to be reasonably sure of two things: that you are who you say you are, and that the address the equipment is going to is really yours. Plant is valuable and easy to move, and this check is how we protect it without asking every customer for a deposit. Here is exactly what happens to your information.

Confirming your identity

We use Stripe Identity, a specialist verification service, to check photo ID. You are sent a secure link and asked to photograph a UK driving licence or passport, and to take a selfie so that Stripe can confirm the face on the document is yours.

Your ID document and selfie go directly to Stripe — they do not pass through our website and we never receive a copy of either. Stripe checks the document is genuine and tells us only: whether the check passed or failed; whether the name on the document matches the name on your hire; and whether the address on the document matches your hire address (a driving licence carries an address, a passport does not).

We keep those results and the date of the check. We do not keep your document, your selfie, your document number, or your date of birth.

Because that selfie check compares your face to your ID photo, it counts as biometric data used to confirm you are you. That is a special category of personal data, so we handle it under a recognised legal condition: it is necessary for the prevention or detection of an unlawful act (specifically, hire fraud and theft of equipment), which is a substantial public interest ground in the Data Protection Act 2018. We have a written policy covering how we handle it, available on request. Stripe carries out the comparison, and neither Stripe nor we build any facial-recognition record from it — it is used once, for this check.

Stripe acts as our processor for this and is bound by a data processing agreement. Stripe is based in the United States, so this involves a transfer outside the UK, protected by the standard safeguards approved for that purpose. Stripe’s own privacy notice is at stripe.com/privacy.

Confirming your address

This part we handle ourselves, so we want to be plain about it: you upload the document to us, and we hold it.

We ask for one recent document showing your name at the hire address — a gas, electricity or water bill, a council tax bill, a bank or building society statement, or a landline or broadband bill. It needs to be dated within the last three months. We cannot accept mobile phone bills, which is standard practice for address checks.

You send it through a secure link that is unique to your hire and expires after 14 days. When it arrives we check it automatically — that it is recent, that it names you, that it shows your address, that the address is a real one, and that the file is the original your supplier issued rather than one that has been altered.

We delete the document itself seven days after the check is finished — whether we accepted it or not. If we could not accept it and asked you for a different one, the one you sent is deleted on the same timetable; and if you send a replacement, the previous one is deleted straight away. After that we keep only the outcome: whether it was accepted, what the checks found, who the supplier was, the date on the document, and a digital fingerprint of the file. We keep that as our record that the check was properly done — we cannot reconstruct your bill from it.

While we hold the document it is stored on our own server, outside the public website, where it cannot be reached by a web address and is never cached or indexed by search engines. Opening it requires both a private, time-limited link and a passphrase known only to the member of staff who checks it.

Automated checks, and when a person looks

Some of this is automatic. A document that passes every check is accepted straight away, and one that is obviously unsuitable — a mobile phone bill, or a bill from three years ago — is declined automatically and you are told why so you can send another. Anything less clear-cut is looked at by a member of our team before any decision is made, and no equipment decision is ever made purely by a computer without that option. If an automated result seems wrong to you, reply to the email and a person will review it.

We also use an automated visual check, which looks at the document the way a person would and reports anything that suggests it has been altered — a patch of different background behind an address, text that does not sit right on the line, a supplier logo of the wrong shape. This is what lets us accept a photograph of a bill rather than insisting on the original file from your supplier. The check is carried out for us by Anthropic, a specialist provider, which receives an image of your document and the name and address we are expecting; it receives nothing else about you, and it does not decide the outcome — what it reports is one factor among several, and anything unclear still goes to a member of our team. Your document is not used to train their systems, and they hold it for no longer than 30 days. This involves a transfer to the United States, protected by the standard approved safeguards and a written data processing agreement. Their privacy notice is at anthropic.com/legal/privacy.

Why we are allowed to do this, and how long we keep it

We rely on two lawful bases. Carrying out these checks is necessary for the performance of our hire contract with you, and it is in our legitimate interests to prevent fraud and protect equipment we are responsible for. For the selfie comparison specifically, we additionally rely on the substantial public interest condition for preventing or detecting unlawful acts, as described above. We are not relying on your consent, so there is no consent to withdraw — but you can object to the processing, and you are of course free not to proceed with the hire.

We do not use any of this for marketing, we do not sell it, and we do not share it with anyone other than the providers named above. Once you have passed, we do not ask you again for twelve months — we do that by keeping a record against your email address that a check was passed and when, not by keeping your documents.

Your uploaded proof-of-address document is deleted seven days after the check concludes, whether accepted or rejected, or immediately if you send a replacement. The outcome of the check, what it found, and the identity result from Stripe are kept with your hire record for six years. Upload and review links expire after 14 days.

You can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, or object to us using it. Deleting your proof-of-address document is built into our systems and we can do it on request — though if you ask before your hire is confirmed we may not be able to release the equipment.
